Integrated Workshops

Integrating a number of project processes into the Collaborative Journey will prevent duplication, gain more involvement of key players and will result in better utilisation of project team recourses.

With the pressures on project teams to work more efficiently and to engage with important additional project initiatives, the team needs to think about how these various initiatives and processes can be integrated. To this end JCP is offering a service to combine the ‘Partnering’ process with Value Engineering, Risk Management and Safety Management processes. This approach has been trailblazed by JCP in the UK and here in HK with many ArchSD Contracts and has been proved to be highly successful.  By combining these workshops it provides for a real project focus for the collaborative behaviours to be applied to the development of ‘value’ ideas, risk issues and safety initiatives that are initiated jointly in a truly trusting collaborative environment and are much more likely to be in the best interests of the project rather than individual companies and therefore very much more likely to be jointly implemented. We can also integrate the philosophy of BIM into these workshops as the key collaborative tool.

The initial workshop would address the strategic level of the initiative that are included, which enables the tactical level workshops to be shorter, more effective and part of the process to sustain the collaborative ethos.

Integrated Collaborative Journey 
  1. Initial Project Launch Workshop (including any combination of; VE ideas, key risk issues and safety principles)

This will be a 1 or 1 ½ day workshop predominately around collaborative behaviours. It will include:

        • Alignment of objectives for the project design phase – Setting KPIs against those objectives for use in Review Sessions
        • Agreeing the basis for a working relationship based on ‘cooperation and trust’ – the collaborative attitudes and behaviours that the team will adopt
        • Establishing a Collaborative Working Charter
        • Understanding the needs of each party in delivering the mutual objectives
        • Analysis of key functional requirements for the project
        • Initial VE Ideas
        • Key risk items
        • Key Safety principles/culture/processes
        • Establishing how the integrated team will use BIM as a collaborative tool to transform the way the project is managed.
        • Set up the structure to address key issues and continue the development of a collaborative relationship between all stakeholders

This event will require pre-workshop one to one discussions with key players to optimise its effectiveness.

  1. VE Workshop (including collaborative development) together with some participants from interfacing project design teams if appropriate

This will be a ¾ day workshop predominantly focused on VE with some reinforcement of collaborative working. It will include:

        • Reflection on attitude and behaviours required for effective collaboration to optimise value engineering opportunities
        • A thorough review of all VE opportunities
          • Making project design and delivery processes more efficient
          • Value opportunities in the design itself
          • Value opportunities in the construction methodologies, programming and interfaces
          • An action plan for implementation

This event will require pre-workshop one to one discussions with key players to optimise its effectiveness.

  1. Risk and Safety Workshop (including collaborative development) together with some participants from interfacing project design teams if appropriate

This will be a ¾ day workshop predominantly focused on Risks to project delivery and safety with some reinforcement of collaborative working. It will include:

          • Reflection on attitude and behaviours required for effective collaboration to openly identify all risks to project delivery and personal safety from any source
          • A thorough review of all programme, cost, quality and safety risks
          • Their likelihood of happening
          • The consequences of them happening
          • An action plan for implementation

This event will require pre-workshop one to one discussions with key players to optimise its effectiveness.

  1. Joint Leadership Team Sessions 2-3 hrs

Following the start-up workshop this team will ensure that the collaborative ethos agreed at the workshops in sustained. It will set the Key Performance Indicators which will measure the success in achieving the mutual objectives and set up the system for their periodic measurement and review. We would like to hold them at regular intervals, maybe monthly at the start and then when they are needed. These sessions would specifically address the following:

        • Development of collaborative working relationships within the project team and with key stakeholders
        • Reduction of waste and continuous improvement throughout the delivery process processes
        • Pursue the implementation of VE ideas and management of risks
        • Development of project safety culture
        • Measure the success of the project against the agreed objectives
  1. Review Workshops

Through the course of the programme it would be very constructive to involve team in a review session. This would reflect on the relationships between the teams, the adherence to the behaviours agreed at the initial workshop, the way in which difficulties and challenges are resolved jointly between the teams, the effectiveness of the VE process, the Risk Management process, Safety Performance/Culture and the effective use of BIM and how we could improve the way we work together in the interests of delivery performance. It is suggested that these session are ½ day and would be as required.

We also suggest an end of project Review Workshop to learn lessons for implementing into future projects.
